Two different answers to where your work should live. Notion is a cloud workspace billed per member per month. Mind Marshal is a free local-first desktop workspace, with AI and automation in a one-time Pro license. Both are good products; this page states the trade-offs plainly, including where Notion wins.

The architectural difference, not a feature war
Notion is a cloud product: your workspace lives on Notion’s servers, and offline access is a limited cache of downloaded pages and recents. Mind Marshal starts from the opposite premise: the workspace is a local SQLite file on your machine, so ordinary writing, planning, search, and databases work offline day to day and your data never needs a server. Content leaves your device only for services you deliberately invoke or configure, like an AI provider or the one-way Slack and Discord capture.
The cost question
One person on Notion Business pays $720 over three years. Mind Marshal’s local workspace is free; a Pro license for AI and automation is $29 once. Five Pro users are $145 versus $3,600 — a license is one user on up to three of that user’s own machines, never five people for $29. The Pro price excludes whatever you choose to pay an AI provider; if you pay for none, your own API key or local Ollama keep AI optional at your own cost or free locally.
Databases and structure
Both products treat structured work as a first-class citizen. Mind Marshal ships six database views with formulas, relations, and rollups in the box, connected to pages, a daily journal, and a quick-capture inbox. Notion’s databases are mature and its template ecosystem is far larger. If your workflow depends on community templates, Notion has the deeper catalog.
AI on your terms
Notion AI is included in Business and above, with custom agents metered by credits. Mind Marshal has no AI subscription of its own: you can sign in with an AI subscription you already pay for (ChatGPT, Claude, or Kimi — subject to the provider’s terms, which can change), bring your own API key, or run Ollama locally. The own-key and local paths always work. Nothing an agent produces is applied until you approve it.
Choose Notion if
- You need mobile apps and first-party cloud sync across devices.
- Your team collaborates constantly and needs sharing, permissions, and guests managed for you.
- You rely on the template ecosystem or enterprise controls (SSO, audit logs, SOC 2).
Choose Mind Marshal if
- You want to own the file your work lives in, with no product account and no in-app telemetry.
- You want free Notion-style databases and a journal that work offline day to day.
- You would rather pay $29 once for Pro AI and automation than a subscription forever, and you want AI to be opt-in with reviewable output.
