Sales and account work

A sales follow-up planner that keeps the account story beside the next move

The useful detail from a customer call is often gone by the time the CRM field is open. Keep the private account context, the promise you made, and the next action together so follow-through feels deliberate instead of improvised.

A strong sales follow-up planner does not need to replace the CRM your company trusts. It needs to help you remember the human context around the record: the customer’s wording, the constraint that changed the conversation, the promise you made, and the one next move worth making before the thread goes cold.

Mind Marshal gives sales professionals and account managers a local-first place for call notes, account context, next actions, and a personal portfolio review. Keep the official opportunity, forecast, and activity record in the shared CRM. Use this workspace for the thinking and preparation that make those updates more useful.

Turn each conversation into a clear follow-up

  1. Capture the language. Right after a call, put the customer’s goals, objections, and decision criteria in the Inbox before the detail turns into a vague memory.
  2. Connect it to the account. Link the note to an account or opportunity page with the background, stakeholders, current stage, and definition of a helpful next step.
  3. Name one commitment. Turn the next visible move into a task: send a recap, prepare a comparison, ask a question, schedule a follow-up, or wait for a stated decision.
  4. Review the portfolio. Use a table, board, calendar, or timeline to see where personal follow-through is blocked, overdue, or competing for the same day.

Keep preparation close to the record

Before a discovery call, link the meeting brief, prior notes, open questions, and draft agenda to the same account page. Afterward, add the decision and next action while the detail is fresh. Mind Marshal supports pages, backlinks, checklists, search, and database views so preparation and follow-through do not have to be reconstructed from a long thread.

Mind Marshal sales pipeline board with accounts moving from new lead through discovery, proposal, and won.
See the next conversation, not just the account nameA dedicated pipeline keeps deal stage, value, follow-up date, and the next human step visible in one view.

Protect the private working layer

Account strategy, call debriefs, rough messaging, and your own questions can be sensitive. Mind Marshal keeps ordinary notes and planning in a local SQLite workspace you own, with Markdown export and encrypted backups. That does not remove your responsibility to follow your employer’s policies about customer information.

Use the right system for the official record

Mind Marshal is not a CRM, sales-engagement sequence tool, forecasting system, shared pipeline, or activity compliance log. Keep official customer data, forecasts, and team workflow in the systems your organization has chosen. Use this workspace to make the private work around those systems more prepared and more human.

How Pro takes this further

Let the workspace do the preparation, and keep every decision

Call notes and account context stay free and private. Pro adds the follow-through you would build yourself if you had the time: pipeline stages that draft the recap, route on the answer, and remind you before a thread cools.

  • Recaps drafted from the note. A stage agent reads the call note on an opportunity card and drafts the recap or the comparison you promised. Set the stage to hold for approval and nothing is appended until you say so.
  • Route on the customer’s answer. Ask the agent to start its reply with ADVANCE, WAIT or LOST; a branch on that word sends the card to Proposal, Nurture or Closed. Preview shows the fallback destination and says when the agent’s answer decides.
  • Follow-up dates set for you. A set property action fills Next follow-up when a card moves, and a notify action puts “chase Northwind on Thursday” in your Inbox.
  • Ask across accounts. “Which accounts mentioned pricing in the last two weeks?” answered from your own notes with citations, without opening each page.

A concrete run: After three discovery calls, run the Discovery stage. The agent drafts three recaps, marks one WAIT, and the branch sends that card to Nurture with the follow-up date set two weeks out. You approve the two ADVANCE proposals and the recaps land on their account pages.

Everything above is optional and reviewable. Runs, stage workflows and chat use the model you connect (a ChatGPT, Claude or Kimi plan you already pay for, your own API key, or a local Ollama model), every change lands in Activity with Undo, and Free Core stays the unlimited manual workspace whether or not you ever turn Pro on.
